This Privacy Policy explains how NoteMind AI Notebook ("App", "we", "our") handles information when you use our application.

We are committed to your privacy and are transparent about how the App works.

1. Information We Collect

We do not create user accounts and do not collect personal identifiers such as your name, email address, location, or contacts.

The only data that leaves your device is the content you explicitly submit to AI features — see Section 3 for full details.

2. How the App Works

NoteMind processes your content using cloud-based AI. When you tap to generate notes, flashcards, quizzes, transcripts, or use the chat feature:

  • The text, document content, audio transcription, URL content, or other input you provide is transmitted over the internet to our secure backend (Firebase Cloud Functions).
  • Our backend forwards that content to OpenAI's API to generate the AI response.
  • The response is returned to your device and displayed in the App.

Content is only sent when you explicitly initiate an AI action. Nothing is transmitted in the background.

We do not store your submitted content or AI responses on our servers after the request is completed.

3. AI Features — Third-Party Data Sharing

When you use any AI-powered feature in the App (notes, flashcards, quizzes, transcripts, chat):

What is sent: The text and content you provide for that specific request — for example, document text, a YouTube transcript, clipboard text, scanned document content, or your chat message.

Who receives it: Your content is sent to OpenAI (via our Firebase backend) for processing. OpenAI generates the AI response and returns it to us.

OpenAI's data use: Under OpenAI's API usage policy, data submitted via the API is not used to train OpenAI's models by default. You can review OpenAI's API data usage policy at openai.com/policies/api-data-usage-policies.

Our retention: We do not store your AI inputs or outputs on our servers after the response is delivered to your device.

Do not submit sensitive personal information (e.g., passwords, financial details, medical records) through AI features.

4. Subscriptions & Payments

If the App offers subscriptions or in-app purchases:

  • All payments are processed entirely through the Apple App Store.
  • We do not collect, process, or store any payment or billing information.
  • Apple manages all transaction data under their own Privacy Policy.

5. Third-Party Services

The following third-party services are integrated into the App and may process data as described:

These services operate under their own privacy policies. We only integrate services that meet acceptable privacy and data protection standards.

6. Analytics

We do not use analytics tools that track individual user behaviour.

If any aggregated, fully anonymous analytics are used (e.g., total crash count with no user identifiers), they contain no information that could identify you personally.

7. Children's Privacy

Our App does not knowingly collect personal information from children under the age of 13. AI feature inputs are not stored or associated with any user identity.

If you believe a child has submitted personal information through the App, please contact us and we will address it promptly.

8. Data Security

Content you submit to AI features is transmitted over encrypted HTTPS connections to our Firebase backend and onward to OpenAI.

We do not store your content on our servers after the AI response is delivered. Any data that remains on your device is protected by iOS's built-in encryption and device security features.

9. Your Rights

We do not store personal data on our servers, so there is no personal information of yours to access, correct, export, or delete on our end.

If you have any concerns about data processed by OpenAI or Firebase, you may contact those services directly using the links in Section 5.

10. Tracking & Advertising

  • We do not track you across apps or websites.
  • We do not serve personalized ads based on your behaviour.
  • We do not use cookies or device fingerprinting.

If third-party ad networks are integrated, they may collect anonymized, non-personal identifiers in compliance with Apple's App Tracking Transparency (ATT) framework. You will be prompted for permission before any such tracking occurs.

11. Changes to This Privacy Policy

We may update this Privacy Policy occasionally. When we do:

  • The "Last Updated" date at the top will be revised.
  • Significant changes will be communicated via an in-app notice.

Your continued use of the App after updates are posted means you accept the revised policy.

12. Governing Law

This Privacy Policy is governed by the laws of your country of residence.
